The Host Schools
The RSRC 2019 in Peru will be jointly hosted by Markham College and San Silvestre School. As with all Round Square Regional Conferences, the host schools make all of the arrangements and take full responsibility for managing the conference logistics, planning the programme, and producing the registration documentation according to the local requirements and laws in their country, and the policies and practices at their schools.Round Square does not organise Regional Conferences itself, and participating schools should note that Round Square does not vet or monitor the arrangements made by the schools. Round Square provides host schools with good practice guidance but attending schools must satisfy themselves that the arrangements made by their hosts are appropriate for their needs as an incoming delegation.
RS Member schools will be allocated to hosts from both schools according to the information provided – the host schools will aim to match students with families that closely mirror the students' preferences.
Delegation
Both RS Candidate and Global Member Schools: a standard delegation of two adults and four students.Every delegation must include at least as many students as adults and ideally more students than adults. Delegations with more adults than students are not accepted.
Students attending the RSRC conference need to be between the ages of 15 and 17 at the start of the conference (April 10th 2019).
Fees
US$ 1,000 per student delegateUS$ 1,200 per adult delegate (does not include accommodation in Lima)
All delegate fees are fixed regardless of the duration of stay (e.g. an adult delegate that participates in the first three days only and then leaves will still pay the full delegate fee as the conference budget is calculated on a fixed number of delegate places). All fees are payable directly to the host school and in registering for this conference, delegations are registering with the host school(s) as the organisers of the conference.
The above price includes all accommodation for students and adults out of Lima during the conference:
- All meals throughout the duration of the conference
- All transport throughout the duration of the conference (including pick up and drop off to the airport in Lima at the beginning and end of the conference)
- All visits and activities throughout the duration of the conference
The above price does not include accommodation for adults in Lima:
- En route flights/transit costs to/from the point of arrival/departure
- En route accommodation to/from the point of arrival/departure
- Delegate's medical insurance or medical expenses
- Personal spending money (for souvenirs and extra drinks/snacks)
- Personal equipment
- Any pre/post conference trips
Hotel Information
The student Conference Organising Committee set up between the host schools has arranged discounted conference rates at the Crowne Plaza Hotel, conveniently located in the centre of all conference activities. Transportation for adult delegates for all activities throughout the conference will be only available to and from this hotel. Cancellation Policy
By signing and returning the Letter of Commitment you have formally committed your schools’ attendance at the 2019 Round Square Regional Conference and the number of delegates you intend to bring.
You will be charged by the host schools for the number of delegates you have indicated in your Letter of Commitment and payment will be required before the outlined deadlines.
If for any reason, you need to cancel or amend your booking you must send an email to Miriam Parodi at rsrc2019@rsrc2019.org
We recommend that in order to avoid losing out, you replace delegates who are no longer able to attend due to unforeseen circumstances. Please remember, the conference fee is only transferable to a substitute from the same school. Transfers are only allowed from student to student and/or from adult to adult.
The cancellation schedule is as follows:
Cancellations made before Thursday 31st January will receive a 25% refund and after Friday 1st February no refunds will be issued.
Insurance
Medical Insurance: All delegates must have valid personal medical insurance that is valid in all countries you plan to visit before, during and after the conference. Delegates’ medical insurance should cover adventure and outdoor activities.Travel Insurance: It is always advisable to arrange travel insurance to protect yourself against delayed flights or lost luggage.
Third Party/Public Liability Insurance: Schools travelling to the conference should have Third Party/Liability Insurance.

Packing list
During April, the average temperature in Lima is 21°C (70F) with highs of 28°C (82F) and lows of 18°C (65F)Please remember it is summertime in Peru when you arrive for the Conference and pack accordingly. Overall Lima has a “casual” dress-code in most places, particularly in the summer. Even some of the nicest restaurants and clubs do not require a dress shirt. If you have any questions about what you should bring, or if you think we have forgotten to mention something on this list, please let us know!
Essential travel documents:
- Passports (two sets of copies to be collected at Registration)
- Travel Tickets (Air)
- Travel Insurance Documents
- All recommended paperwork for your student delegates to enter the country (includes parental permissions for minors if required, etc..)
- Medical Insurance Documents/ID Cards
- All important medicines/prescriptions that you are required to take on a daily basis. Please bring a supply to last the entire time of your stay in Perú.
- Recommended Vaccinations and copies of the certificates:
- Rabies vaccinations/certificates (service /local dogs)
- Tetanus vaccinations/certificates (service work) - Signed waivers for the RS Conference (see web page)
- Emergency Contact details to be carried with you at all times
- Local currency (Peruvian Soles) for souvenirs and personal items (all expenses are covered during the conference activities). Small denominations are suggested (50, 20, 10 Soles) as well as larger denominations (100)
Personal Items:
This conference will certainly keep you busy experiencing all of the RS IDEALS, especially Adventure and Service. Therefore, we strongly recommend that you please avoid bringing the following items to Perú:
- Expensive or valuable jewellery
- Unnecessary technology
- Expensive or branded clothing, purses or bags
- No high heeled fashionable shoes or sandals
Medical:
If you require the use of an EPI PEN for emergency situations, please bring it with you and carry it with you at ALL times. This is not available for sale in Peru and we are not able to carry it in the Nurse's kit.
Toiletries:
- Toiletry Items (personal choices):
- Shampoo, toothpaste, toothbrush, shower gel/soap, skin cream
- Feminine hygiene products (if required)
- Required daily medicines/prescriptions
- Sunscreen 50+ (strong summer sun)
- Extra set of necessary travel sized items for overnight
Technology:
We encourage everyone to bring their phones or cameras to the Conference. Please also remember to bring these additional items:
- Universal Travel Plug:
- Voltage in Peru is 220 volts at 60 hertz (in the USA, electricity is supplied at between 110 and 120 volts)
- Plugs are typically the 2 pronged flat type found in the US, though some facilities use the 2 rounded prongs instead
- Additional Items:
- Spare batteries, chargers, memory cards (cameras, phones and flashlights)
Miscellaneous items:
- Padlocks (3): one for your suitcase, one for a travel/carry-on sized bag for service/adventure days and one for your backpack if you are carrying expensive items like phones
- Label all of your luggage and backpacks/carry ons
- School flag if you are the flagbearer (in your hand luggage please)
Conference everyday clothing (Personal choices):
- Casual smart clothing for the Opening/Closing Ceremonies. NO School Uniforms
- Lightweight casual clothing appropriate for summer and hot weather which includes your personal choice of any of the following:
- Modest shorts
- Modest tops for girls/ short sleeves for everyone
- Lightweight dresses ○ Lightweight pants/slacks/trousers
- Summer casual lightweight long sleeve shirt (one)
- Lightweight jacket/sweatshirt/sweater - Personal items:
- Underwear, socks, modest pajamas, slippers (host home) - Footwear:
- Your choice of everyday casual shoes: Topsiders (Sperry), sandals, sneakers, crocs
Additional items for service/adventure components:
Service and Adventure are very important elements of this RS Conference and although at times, it may get challenging, it will always be extremely rewarding work. You will get dirty and you may get wet, so please remember to pack these important items for both activities:
OLD WORK CLOTHES: the weather is very hot during the day and a little cooler at night, but please bring the following:
- T-shirts or light weight long-sleeve shirts
- Modest shorts, lightweight pants
- Closed toe sturdy work shoes/sneakers. No Open toe shoes/sandals or crocs
- Swimwear/cover up (modest, preferably no bikinis)/water shoes
ADDITIONAL ITEMS FOR SERVICE AND ADVENTURE COMPONENTS:
- Overnight/duffle bag (carry on size)
- Sleeping bag and/or travel pillow: lightweight for summer weather
- Towel for the shower, another towel for swimming
- Travel sized toiletry kit
- Sunglasses with a strap
- Wide brim outdoor bucket hat or safari hat that covers your neck and ears or sports caps
- Refillable Water Bottle (no plastic bottles will be used)
- Insect Repellent (with higher DEET content such as Deep Woods Off)
- Sunblock (50+)
- Flashlight, extra batteries
- Laundry bag for wet and dirty clothes
- Sneakers with ridged bottoms/soles.
